Admin & Finance Officer, R&I Dte, BUHO
QUALIFICATION:
- Minimum 18 years of education from an HEC-recognized University.
EXPERIENCE:
- Minimum 03 years of relevant experience.
- Preference will be given to candidates having working experience in Business Incubation Center (BIC) of a well-reputed University.
RESPONSIBILITIES:
The Admin and Finance Officer shall be responsible to Director R&I (BUHO) and Manager BIC (BUHO) for the following:
- Manage the financial operations of the Business Incubation Center (BIC), including preparation and processing of fee vouchers, advances, reimbursements, receipt and payment vouchers, overtime claims, payroll inputs, and follow-up for timely settlement of financial transactions.
- Maintain accurate financial records, including bank reconciliations, budgets, grant documentation, expenditure records, financial databases, and records relating to incubation programs, research projects, and other funded initiatives.
- Administer the financial management of donor-funded, government-funded, research, and incubation projects, including budget monitoring, expenditure control, reappropriation of approved budgets, release of unutilized funds, and compliance with approved financial plans and grant requirements.
- Coordinate with the Treasurer Office-BUHO, banks, auditors, funding agencies, procurement offices, vendors, government organizations, service providers, and other stakeholders on financial, procurement, banking, budgetary, and administrative matters.
- Ensure compliance with Bahria University policies, grant agreements, donor requirements, financial regulations, administrative procedures, and applicable reporting timelines.
- Coordinate procurement activities, vendor management, and ensure timely availability of resources required for BIC operations and startup support activities.
- Maintain complete financial and administrative documentation to facilitate internal and external audits, inspections, physical verification of assets, and timely resolution of audit observations.
- Assist in the development, implementation, and periodic review of financial and administrative policies, procedures, internal controls, and risk mitigation measures to strengthen the governance and operational efficiency of the Business Incubation Center.
- Provide financial, administrative, and logistical support for startup incubation activities, including bootcamps, workshops, seminars, networking events, investor engagements, competitions, staff training, professional development activities, and other official events, including preparation of event budget.
- Coordinate the maintenance, repair, operational readiness, and efficient utilization of BIC facilities, incubation spaces, office equipment, furniture, supplies, and other institutional assets.
- Perform any other duties assigned by the Manager BIC/Director R&I/Higher Management in the interest of the Business Incubation Center.
